Role of the Ombudsperson
The Ombudsperson is an independent, neutral, and confidential resource appointed to address and resolve student, faculty, and staff grievances. In accordance with the guidelines set by the University Grants Commission (UGC), the Ombudsperson operates impartially and is dedicated to promoting fairness and equity across all university processes and interactions.
Responsibilities
The primary responsibilities of the Ombudsperson include:
- Listening to concerns and complaints impartially and confidentially.
- Facilitating fair and equitable resolutions.
- Advising on university policies and procedures.
- Mediating conflicts and fostering communication among parties.
- Ensuring compliance with UGC guidelines and university regulations.
- Providing recommendations for systemic improvements based on identified issues.
Complaint Handling Process
01/ Filing a Complaint:
- Students, faculty, and staff can file complaints through an online form, email, or in person.
- All complaints are treated with the utmost confidentiality and seriousness.
02/ Initial Review:
- The Ombudsperson reviews the complaint to ensure it falls within their jurisdiction.
- If the complaint is outside the Ombudsperson's scope, appropriate referrals are made.
02/ Investigation:
- A thorough investigation is conducted, which may involve interviewing parties involved, reviewing documents, and gathering necessary information.
- If the complaint is outside the Ombudsperson's scope, appropriate referrals are made.
04/ Resolution:
- The Ombudsperson facilitates discussions between the parties to reach a fair and mutually acceptable resolution.
- Recommendations for action may be provided if necessary.
05/ Follow-Up:
- The Ombudsperson ensures that agreed-upon resolutions are implemented and monitors the situation to prevent recurrence.
CONFIDENTIALITY
Confidentiality is paramount in the Ombudsperson’s work. All information shared is kept confidential unless disclosure is required by law or with the express consent of the complainant.
